1. Who we are
This website, designful.be, is run by Designful Studio BV, a Belgian private limited company with enterprise and VAT number BE 1033.091.966. Our registered office is listed in the Belgian Crossroads Bank for Enterprises (KBO/BCE) under that number.
We are the controller of the personal data described in this policy. For anything about your data, email hello@designful.be or call +32 488 20 45 99.
2. What we collect
When you contact us
If you use the form on our contact page, we receive your name, email address, organisation (optional), your message and the topics you select. If you email or call us, we receive what you choose to share, such as your name, contact details and the content of your message.
When you visit the website
Like every web server, ours keeps a short technical log of each request: your IP address, the date and time, the page requested, the referring page and your browser type. We use these logs only to keep the site running and secure.
We do not use analytics, advertising, tracking pixels or social media plug-ins, and we do not build visitor profiles.
3. Why we use it, and on what legal basis
| Purpose | Data | Legal basis (GDPR) |
|---|---|---|
| Replying to your enquiry and, if you ask, preparing a proposal | Contact details, message, topics | Steps you asked for before a possible contract (art. 6.1.b), or our legitimate interest in answering questions sent to us (art. 6.1.f) |
| Keeping the website secure and working | Server logs | Our legitimate interest in a secure website (art. 6.1.f) |
We do not send newsletters or marketing emails, and we never sell or rent personal data.
4. Who else handles your data
We use a few trusted service providers who process data on our behalf, under a data processing agreement:
- IONOS hosts this website and the database where enquiries are stored, on servers in the European Union.
- Microsoft (Microsoft 365) delivers the email that notifies our team of a new enquiry.
- Google (Google Workspace) hosts our hello@designful.be mailbox.
Microsoft and Google may process data outside the European Economic Area, including in the United States. Where they do, they rely on the EU–US Data Privacy Framework and the European Commission’s Standard Contractual Clauses to protect it.
We share data with authorities only when the law requires us to.
5. How long we keep it
- Enquiries (form submissions and the related emails): 24 months after our last contact with you, after which we delete them. Website enquiries are deleted automatically.
- Server logs: 14 days, then deleted automatically.
- If you become a client, the data needed for the contract and our accounting is kept for as long as Belgian law requires.
6. Cookies
This website does not set any cookies and does not store anything on your device. That is why you don’t see a cookie banner. Fonts and images are served from our own servers, so loading a page does not send your data to third parties.
Links to Instagram and LinkedIn open those sites, which have their own privacy and cookie policies.
7. Your rights
You can ask us at any time to:
- see the personal data we hold about you and get a copy of it;
- correct it if it is wrong or incomplete;
- delete it;
- restrict how we use it, or object to our use of it;
- receive it in a machine-readable format to pass on to someone else.
Email hello@designful.be. We reply within one month. We may ask you to confirm your identity first.
If you think we have not handled your data properly, you can complain to the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données), Drukpersstraat 35 / Rue de la Presse 35, 1000 Brussels, www.dataprotectionauthority.be. We would appreciate the chance to resolve it with you first.
8. Security
The website is only available over an encrypted connection (HTTPS). Enquiries are stored in a database that only our team can access, using personal accounts.
9. Changes to this policy
If we change how we handle personal data, we will update this page and the date at the top.
